Every week, adults across England are referred to us for ADHD and autism assessments after months — sometimes years — on NHS waiting lists. Our admin team is the first voice they hear and the steady hand that carries them from referral to diagnosis. If you are organised, warm, and quietly relentless about getting things done properly, we would love to hear from you.
About Insight Diagnostics
Insight Diagnostics is a fast-growing, fully remote provider of adult ADHD and autism assessments, delivered by GMC-registered consultant psychiatrists. We work with the NHS through the Right to Choose pathway and are commissioned by a growing number of Integrated Care Boards across England, alongside private and insurer-funded patients.
What sets us apart is pace with care. Once a referral is received and accepted, we aim to book the assessment within around two weeks and to send the completed report within five working days. Where medication is appropriate, our titration team takes over so patients are never left in limbo.
Behind that promise sits a small, close-knit admin team working in our own in-house system to keep every patient’s journey visible from first enquiry to final report. We are growing quickly, and we are building our team with people who care about doing this well.
What you’ll be doing
You will be the link between our patients, their GPs and our clinicians, making sure nothing falls through the cracks. A typical week looks like this:
You will be trained on our systems and processes, and you will have a supervisor to turn to when something is unclear. We would rather you ask than guess.
- Processing referrals
- Checking incoming GP referral packs are complete and eligible, chasing missing information, and moving accepted patients into the booking queue.
- Booking and confirming
- Scheduling assessments and titration appointments with our consultants, confirming with the patient and acknowledging the referral to their GP.
- Patient and GP correspondence
- Handling enquiries by email in a clear, kind and professional tone. We are an email-first service, so written communication is at the heart of the role.
- Keeping records accurate
- Updating patient journeys in our system and our booking platform, mirroring every change in both, and keeping the referral letter as the single source of truth.
- Post-assessment follow-through
- Tracking reports, dispatching completed reports to patients and GPs, and flagging anything overdue.
- Supporting the wider team
- Joining our weekly admin meeting, sharing what is working and what is not, and helping us keep improving how we do things.
Who we’re looking for
You do not need a healthcare background, but you do need to care about the people behind the emails. Above all, you need to be meticulous and adaptable. This role suits someone who is:
- A confident written communicator in English able to explain a process clearly to an anxious patient or a busy GP secretary without sounding scripted.
- Meticulous by nature. You double-check dates, names and NHS numbers because you know one wrong digit affects a real person.
- Adaptable. Our systems and processes keep improving, and the way we work changes with them. You take change in your stride, learn the new way quickly, and help the people around you do the same.
- Comfortable with systems. You pick up new software quickly and are happy working across two platforms at once. Experience with patient management or CRM systems is a bonus.
- Discreet and trustworthy. You handle sensitive personal and medical information every day and understand what confidentiality and GDPR mean in practice.
- Self-driven and reliable. You manage your own time, meet your weekly targets, and keep your availability up to date so the team can plan around you.
- Calm under a full inbox. Volumes can be high and priorities shift. You stay organised and ask for help before things pile up.
Previous experience in medical administration, a GP practice, a private clinic or a busy customer-facing admin role will help you hit the ground running. An understanding of NHS Right to Choose or ADHD/autism pathways is a plus, not a requirement. We will teach you the rest.
The arrangement
This is a self-employed, contract-for-services role, not employment. You will invoice us for the hours you work, be responsible for your own tax and National Insurance, and provide your own equipment and a private, secure place to work. In return you get real flexibility in how you organise your week, a role that grows with you, and a team that treats you as a professional rather than a resource.
- Hours
- We start at around 20 hours a week so you can learn our systems properly. For the right person there is a clear path to 35–40 hours a week.
- Location
- Fully remote. You will need to be based in the UK, with reliable internet and a quiet, confidential workspace.
- Working pattern
- Core availability during UK business hours, agreed with your supervisor and logged weekly in our team diary. Cameras-on weekly admin meeting on Tuesday mornings.
- Pay
- An hourly rate, discussed at interview along with the full role details.
- Onboarding
- Structured training in our system, our booking platform and our processes, with a supervisor and regular one-to-one check-ins.
- Growth
- We are expanding quickly. Contractors who prove themselves have moved into specialist areas such as ICB data and reporting, compliance, and private patient coordination.
